HR Admin. Assistant (Temporary)

Overview:

The HR Admin Assistant - International will play a critical role in absorbing the current extra workload of various steps throughout the life cycle of GHI Employees. This role will work closing with Talent Acquisition Team in RWC, External Recruitment partners, International Finance and Payroll team for all international HR Admin needs under the supervision of Senior HRBP International.


RESPONSIBILITIES / DUTIES:

Recruitment

· Key point person to set up Requisition Forms Documents and Recruitment interviews for International Candidates in liaison with Talent Acquisition Team
· The focal point for all logistics details for Candidates Interviews (Transportation, Expenses …)
· Collect Feedback and References to move forward with shortlisted Candidates
· Follow up of Contract/Invoices payment with Agencies

Administration
· Act as a liaison between HR International, Talent Acquisition Team, to collect and send HR Admin Documents to new Employees: Work Contract, RSU Letter, Code of Conduct Policy, Communication Policy, Direct deposition Authorization, Employee Data Sheet, Insider Trading Policy, Intranet Acknowledgement, Personnel Questionnaire
· Take administrative steps to ensure HR management systems (Ultipro, Applic8, Success Factors) This includes but not limited to:
o ensure work contract and HR Documents are handled timely
o enter, correct, and update Employees data within different HRs system as needed
o control all Employees change are being captured
o maintenance of HR hard & soft copy files
· Manage Work Permit request. Collect Documents, submit request to Authorities and manage correspondence
· Registration/Declaration to Insurances: Accident, Maternity, loss of income, disability
· Check Legal requirements within different Entities: Medical Checkup, follow up of mandatory training, registrations …
· Collect information and documents for Monthly paycheck/Information to Payroll Team
· Coordinate responses to internal client's requests for HR information and documentation
· Upon supervision of Senior HRBP EMEA draft interim and final Work Certificates for International Employees
· Prepare all documents for Onboarding/Offboarding

Process
· Transfer existing Admin work and all key data elements into new HR workflow for International
· Draft process/Interaction with HR Dept

QUALIFICATIONS:

· University degree (BA/BS degree) and/or HR Swiss Certificate
· 3+ years of experience in HR International administration
· Fluent written and spoken English and French (other languages a plus)
· Ability to use Microsoft tools (Excel, Word, Visio), HR IT experience as a plus
· Organizational skills
· Strong attention to details
· Ability to adapt to a fast-changing environment
· Social skills for developing good relationships with internal clients
· Knowledge of other European Labor law, ideally French labor law is a plus
