Executive Administrative Assistant - Genomic Health

The Executive Administrative Assistant and HR Projects, Human Resources provides Executive Administrative support to the Chief People Officer and the HR Senior Staff. In addition, this position acts as back-up and team-member to support the Corporate offices of the CEO and COO and assists with corporate all employee events. In this highly visible role, the individual will handle details of an extremely confidential and critical nature. The person in this position has an important role in supporting a positive employee experience and acts a culture ambassador. They accomplish human resource objectives; develop and maintain a detailed project schedule; while managing and implementing assigned HR Projects. The individual will demonstrate positive accountability practices to ensure excellence in executing responsibilities and projects.

Responsibilities:
· Provide Executive Assistant support including phone, email support, calendaring (including routine outlook requests, one-on-one schedules, and departmental meetings).
· You will coordinate travel and expense report management.
· Provide leadership and support for various administrative projects and processes: HR communications & presentations; internal/external correspondence; organizational updates and communication, etc.
· You will conduct routine administrative activities including, but are not limited to: departmental document filing and retention, copying and distribution, credit card reconciliation, time off calendar, supplies, internal and external correspondence and mailings, subscriptions and publications, and other activities upon request.
· Participate in Admin team planning meetings for purposes of continuous process improvement and communication
· Update Administrative Team Support Map; quarterly review with Admins to ensure information is accurate, and update HR team information with changes
· Become a key information resource for employees by routinely answering questions and requests as related to corporate and HR programs and functions
· Track and monitor department budget, working closely with the HR Team and Finance Partner.
· Plan and execute the Anniversary Lunches. Ensure availability and participation of VP's before planning. Reach out to remote employees celebrating 5 and 10 year anniversaries to allow for gift options.
· Assist with the preparation for All Employee Meetings, by providing slides listing anniversaries and other content as needed.
· Participate in high priority cross-functional HR projects as assigned.
· Provide backup phone and/or calendaring support for the EA to the Chairman, CEO and COO during vacation, sick days or other out of office needs.
· You will interface with Board Members, all levels of employees, outside vendors, patients and industry luminaries.

Qualifications
· Strong interpersonal skills that demonstrate an ability to communicate at all levels of a corporation, as well as the Board of Directors and Industry leaders.
· Computer skills: advanced word processing; spreadsheets, PowerPoint, databases, familiarity, and use of Internet, presentation development skills MS Office expertise must be at a very high level.
· Writing skills: memos, letters, data analyses, with proper grammar and spelling.
· Demonstrated ability to manage multiple, simultaneous, complex tasks and to meet deadlines.
· Demonstrated ability as an effective team member.
· Maintains a positive mental attitude to daily tasks and becomes a net contributor to overall morale. Acts as GHI Ambassador to reinforce our culture and Employment Brand.
· A demonstrated willingness to exercise initiative in cases where decisions need to be made and supervisors are not available to consult, coupled with the tact and judgment to do so appropriately.
· Demonstrated communication skills, verbal, tact, composure under pressure and confidentiality in order to coordinate complex personnel issues, schedules, travel, and logistical projects/programs in and outside of Genomic Health.
· Ability to develop productive, collaborative relationships throughout the organization.
· Demonstrated organizational skills with an ability to prioritize.
· Demonstrated customer service orientation (experience in customer or client-facing role is a plus).
· Work Experience: Minimum of 10 years of executive level support. Flexibility to support functional processes. Basic knowledge of HR practices and policies preferred. Meeting planning experience helpful.
