Overview:

OVERVIEW
Genomic Health is seeking an experienced Executive Administrative Assistant to support the Chief Communications Officer (CCO) and the Communications department, which includes Corporate Communications, Investor Relations, Patient Advocacy, Government Affairs, Patient Communications and Global Branding and Creative. The ideal candidate will be highly professional but personable and approachable, detail-oriented, organized, able to multi-task and prioritize, proactive, able to take initiative and anticipate needs, have excellent communication skills (written and verbal), able to remain poised under pressure, able to work overtime if needed, and one who brings a positive, polished attitude to both one-on-one and team interactions. Also, the candidate must demonstrate the ability to represent GHI in a highly professional manner to external contacts such as Investors, media, Board members, executives, consultants and collaborators, and internally to exemplify the characteristics of teamwork, mutual respect, and accountability.

Biotech or Life Science industry experience is preferred. Previous experience supporting senior executives and departments are required.

RESPONSIBILITIES
CCO, Communications Senior Staff Support:
· Schedule and organize calendars and appointments
· Screen/triage calls and respond to communications
· Establish and maintain filing systems and documentation
· Create and/or edit documents such as PowerPoint, Word or Excel
· Organize meetings: onsite/offsite
· Coordinate all travel logistics
· Domestic/International flights and travel arrangements
· Hotel accommodations
· Transportation needs
· Prepare and track expense reimbursements/check requests
· Schedules and provides onsite support for monthly (quarterly) All Employee meetings including catering, meetings set-up, ppt coordination and HR updates

Investor Relations:
· Schedule and coordinate logistics for all investor relations activities, including quarterly earnings, daily calls, analyst receptions, company tours/visits, and bank conferences.
o Track calendars closely and develop agendas for internal Executive meetings to review scheduling
· Intercept and triage all investor phone and e-mail inquiries
· Enter, gather and compile investor data using ThompsonONE software
· Provide on-site support at annual JP Morgan conference in San Francisco on the day of company presentation and investor reception

Department Support:
· Provide administrative support to the group, including meeting arrangements, catering, photocopying, and filing etc.
· Manage the Communications contracts:
· Coordinate and communicate all logistics for Patient Ambassador visits including travel, lab tours, and meeting agendas
· Organize departmental events and assist with special projects and events
o Consulting contracts
o Collaboration contracts
o Confidentiality Agreements
o Creation and tracking of vendor POs

Other:
· Interact closely with administrative support personnel across all GHI departments to provide functional backups, facilitate internal GHI communication and support the GHI culture and ethics
· Participates in Admin Team planning meetings.

QUALIFICATIONS
· Strong administrative and organizational skills; must be highly detail- and multi-task-oriented
· Able to prioritize and drive to results with a high emphasis on quality
· Excellent written and verbal communication skills
· Strong communicator with the ability to maintain an open dialogue and productive working relationships with internal employees, administrative staff colleagues and company executives and with external associates and customers
· A strong team player
· Ability to work independently and be proactive; think through assignments and anticipate needs
· Work calmly under pressure
· Able to integrate and apply feedback in a professional manner
· Ability to manage busy calendars and coordinate travel arrangements
· Advanced knowledge of Microsoft Applications such as Outlook, PowerPoint, Word, Excel, etc.
· Knowledge of corporate and financial/investment terminology and operations is desired
· AV experience is desired to assist with the creation, sharing and uploading of PowerPointt presentations, including the ability to embed videos and animation
· Biotech or Life sciences industry background is preferred
· Associate's degree and/or Bachelor's degree
· 3-5 Years of related experience in support of high-level executives
